Data Retention & Deletion

How long data is kept, and how to request deletion.

Overview

This page explains how long MTScheduling keeps information, how it gets deleted, and how long the outside providers that help run the service keep their own copies. It applies to both of the kinds of information we hold: your account information (name, email, login), and the information about your own customers ("End Recipients") that you enter.

While Your Account Is Open

We keep your information for as long as your account is open so the service can keep working. Cancelling a paid subscription doesn't delete anything - your account simply returns to the Free plan with all of its data intact. Reminder and review-request history stays attached to each customer for as long as that customer exists.

Deleting a Customer

Owners and admins can permanently delete any customer from that customer's page. It takes effect immediately and also deletes their maintenance items, schedules, job history, and reminder and review-request records. If the customer had unsubscribed from your emails, deleting them also erases that unsubscribe record - the app warns you before you confirm - so if you add them again later they could be emailed. Deactivating a customer instead keeps everything, including the unsubscribe record, and stops reminders.

Deleting Your Account

The account owner can delete the whole account from Settings → Account → Delete account. It takes effect immediately and permanently deletes every customer and everything attached to them, the business's settings, and the logins of everyone on the team (except a person who also belongs to a different MTScheduling business, who keeps that login). Any paid subscription is cancelled at the same moment, with no refund for the rest of the billing period. It can't be undone. If you'd rather not do it yourself, email support@mtscheduling.com and we'll complete it within 30 days.

Payment Records

We never see or store full card numbers - Stripe does. Stripe keeps payment records (amounts, dates, subscription history) under its own legal record-keeping obligations, and those records stay with Stripe after your account is deleted. We don't keep a separate copy of billing history in the app once an account is closed.

Backups

Deleted information is removed from our database immediately. If we keep database backups, deleted information may remain in a backup until that backup expires.

Our Providers' Own Retention

Some of the providers that help run MTScheduling keep their own short-lived copies, which we can't delete on demand but which expire automatically: Resend (email delivery) keeps email content and delivery logs for 30 days; Sentry (error monitoring) keeps error reports for up to 90 days, and they contain technical details rather than customer lists; Vercel (hosting) keeps request logs for a day or less. See our Sub-processors page for what each provider handles.

Requests and Contact

To ask for a copy of your information, or for anything on this page done on your behalf, email support@mtscheduling.com. We're based in Tampa, Florida, and the service is intended for businesses and End Recipients in the United States and Canada.
